Hoffmann Architects seeks a part-time Administrative Assistant to perform administrative and clerical duties to support the general office operations of the Hamden, CT office for a nationally recognized architecture firm.

The part-time Administrative Assistant will perform a wide range of administrative and office support activities to facilitate the efficient operation of the firm.  We are flexible with the work schedule, but are targeting 15 hours per week, Monday through Friday, from 11:30 am till 2:30 pm.

Primary Responsibilities

  • Making photocopies, filing documents, and processing paperwork;
  • Maintain electronic and hard copy filing system;
  • Answering, screening and transferring inbound phone calls;
  • Perform general clerical duties including typing, mailing (USPS/UPS/FedEx), and faxing;
  • Open, sort and distribute incoming correspondence;
  • Proofreading general correspondence and technical reports and correcting grammatical, punctuation and spelling errors;
  • Maintain office supply inventories;
  • Greeting and receiving visitors and clients;
  • Manage multiple calendars in Microsoft Outlook;
  • Performing related duties as assigned or required to meet company goals and objectives.

Knowledge and Skills Required

  • Knowledge of basic business math;
  • Knowledge of standard office practices and procedures;
  • Skill in typing/word processing and use of personal computers/software;
  • Ability to effectively communicate;
  • Proficiency in Microsoft Word, Excel, and other productivity software.

Minimum Requirements

  • High school diploma; AND
  • 3 years working in an office environment; OR,
  • Any equivalent combination of experience, training and/or education approved by Human Resources.
